FreshOut 360 is built and operated by FreshOut Education ("we," "us"). This policy explains what information we collect through freshout360.com and the FreshOut 360 platform, how we use it, and the choices you have. We built this product for organizations that serve people in sensitive circumstances, and we treat the data you trust us with accordingly.
Information we collect
- Account information. When your organization signs up, we collect names, work email addresses, roles, and organization details for each user account.
- Client data your organization enters. Case notes, intake responses, demographics, training attendance, referrals, and documents your team records in the platform. We process this data on your organization's behalf and your organization owns it.
- Website inquiries. If you request a demo or contact us, we collect the information you submit so we can respond.
- Usage information. Basic technical logs, such as login events and error reports, that help us keep the platform secure and working.
How we use information
We use information to provide and improve the platform, respond to your requests, provide support, secure accounts, and meet legal obligations. We do not sell personal information, we do not use it for advertising, and we do not use your organization's client records to train AI models. The Ask AI feature answers questions using only your own organization's data.
Who owns client data
Your organization owns the client records it enters. We access them only to operate the platform, to provide support you request, or as required by law. If your organization leaves FreshOut 360, we return your data in a standard export format and then delete it from our systems, as described in our Data Security page.
When we share information
We share information only with service providers who help us run the platform, under contracts that limit how they may use it: cloud hosting and database (Google Firebase), transactional email (Resend), AI processing (Anthropic — which receives only aggregate statistics or the text you ask it to draft, never client records), website form delivery (FormSubmit), and bot protection on sign-in (Google reCAPTCHA). We may also disclose information when required by law or to protect the safety of a person. We never sell or rent data.
How long we keep information
Account and client data are kept for as long as your organization uses the platform. Website inquiry information is kept only as long as needed to respond and follow up. You can ask us to delete your inquiry information at any time.
Your rights
You may request access to, correction of, or deletion of your personal information by emailing 360@freshouteducation.org. California residents have additional rights under the California Consumer Privacy Act, including the right to know what personal information we hold and the right to deletion. We will respond to verified requests within the time the law requires. People whose information was entered by an organization using FreshOut 360 should contact that organization first, since it controls those records; we will support the organization in honoring the request.
Children
The platform and website are intended for use by organizations and their staff, not by children. We do not knowingly collect information directly from children under 13.
Changes to this policy
If we make material changes, we will post the updated policy here with a new effective date and notify account administrators.
